P1.2) How does access control work in Paperdyne? What are PHASES in Paperdyne?

Organizing scientific conferences is typically done in different phases of organization. In Paperdyne, these phases are used to control access to the system.

Setup

In this phase the program committee chair can check and change all setup details, e.g. e-mail addresses, dates of phases, etc. As soon as this work is done, the invitation of reviewers is recommended.

Abstract and Paper Submission

In this phase authors can register, submit an abstract and their paper file and reviewers can register as soon, as they are invited to register by the program committee chair.

Bidding and Paper Submission

In this phase reviewers can see abstracts from all submissions for the first time. They can bid for papers and submit their conflicts. They do not see, whether authors already submitted their paper file. Of course reviewers can still register, if this was not already done. The registration of new authors and the submission of new abstracts is not possible anymore. Authors, who already registered and submitted an abstract can still upload the corresponding paper file. If you do not want authors to submit or change their paper file anymore, you should directly switch to "Bidding without Paper Submission".

Bidding without Paper Submission

This phase is identical to "Bidding and Paper Submission", except that authors cannot upload or change paper files anymore.

Assignment

Paper submission and bidding is not possible in this phase, even reviewers cannot register anymore. The system is blocked for the assignment. Any unknown data changes could disturb the PCC in the assignment process. New reviewers, new authors, or changed paper files must be inserted by the PCC.

Review

Reviewers can download their assigned paper files and write reviews. If more reviews are needed for some papers, the PCC can ask for additional reviews.

Blocked

This phase is to prepare the PC meeting. Reviewers cannot enter reviews anymore, this way you can prepare printouts for the PC meeting. It is important to block new reviews, because otherwise the printouts might be inconsistent.

Camera Ready Copy

Authors can access review results and upload the camera ready copy, if the paper is accepted. Reviewers can read CRCs of assigned papers and enter comments on these CRCs.

Closed

The site is closed for all users, except for the PCCs.

 


 

Reviewer's and Author's View

The actual phase within the process is not completely transparent to authors because they do not need to know about details of the reviewing process. Please have a look a the figure for a comparison of displayed phase names.

Switching to a new Phase

Paperdyne does not switch to the next phase automatically, e.g. closing the submission must be done manually by the PCC at [Settings - Phases] in the PCC view of Paperdyne. All important dates that are entered at [Setting - Conference Properties] are only for information purpose e.g. within notification e-mails.
